Beauty & Bodyshaping, established at Boekel 39, 1921 CE Akersloot and registered with the Dutch Chamber of Commerce (Kamer van Koophandel, KvK) under number 89469879, is responsible for the processing of personal data as described in this privacy policy. We process personal data because you use our services, request a quote or place an order (by email, phone or WhatsApp), attend a training course, or because you provide this data to us yourself. This concerns:

• first name and surname, company name and KvK (Chamber of Commerce) number;
• address details, phone number and email address;
• details of your order, payment and delivery;
• the content of messages you send us via the contact form, email or WhatsApp;
• health data that you share with us for a training course or for advice about a treatment (see below);
• data about your visit to our website, such as IP address, browser type and the pages you view;
• your email address if you sign up for our newsletter.

For training courses and for advice about treatments, we sometimes also record health data about you or about your clients, for example skin type, use of medication or conditions that affect a laser treatment. This is special category personal data. We process it only with explicit consent and solely in order to be able to give safe and appropriate treatment advice. If, as a customer, you record data about your own clients, you are responsible for that yourself; we process that data only in so far as this is necessary for the training or advice you obtain from us.

• handling your order, payment and delivery, and keeping you informed of their status;
• organising training courses and sending the accompanying information and certificates;
• giving safe and appropriate treatment advice, on the basis of the health data you share with us for that purpose;
• answering questions and providing service and warranty;
• sending our newsletter, only if you have signed up for it; you can unsubscribe via the link at the bottom of every newsletter;
• complying with legal obligations, such as the statutory retention obligation for our records;
• improving our website on the basis of visitor statistics (only with your consent to cookies).

We process your data on the basis of the performance of the contract with you (orders, training courses, service), a legal obligation (records), your consent (newsletter, cookies that are not necessary), your explicit consent (health data for training courses and treatment advice) or our legitimate interest in a properly functioning and secure website.

We do not keep your data for longer than is necessary for the purpose for which it was collected. Data that forms part of our records, such as invoices, is kept for seven years because of the statutory tax retention obligation. Messages sent via the contact form, email or WhatsApp and the data you give us for treatment advice are kept for as long as is necessary to deal with and follow up your question. Because questions about equipment and treatments often remain relevant for a longer time, we apply a maximum retention period of three years after the last contact for these. We keep your newsletter subscription until you unsubscribe.

We do not sell your data to third parties. We share data only with parties that are needed for the performance of our contract or with which we are legally obliged to share it:

• a postal or parcel service, if we send small parts such as filters to you by post; we deliver equipment ourselves in the Netherlands and Belgium;
• our web hosting provider and the supplier of our email service;
• HubSpot (processing in the European Union), for our customer system, the contact and newsletter form and the visitor statistics of this website;
• Google (Google Analytics) and Meta (Facebook and Instagram), for visitor statistics and for measuring our advertisements, only if you give your consent to this via the cookie notice;
• our bookkeeper, for the financial records.

We conclude a data processing agreement with parties that process data on our instructions. If data is processed outside the European Economic Area, this is done only on the basis of appropriate safeguards, such as the standard contractual clauses of the European Commission.

Our website uses functional cookies that are necessary for the site to work, such as remembering your cookie preference. No consent is required for these.

In addition, and only after you have given your consent in the cookie notice you see on your first visit, we use cookies for statistics and marketing:

HubSpot measures how our website is used and links submissions of the contact and newsletter form to your visit:

• __hstc and hubspotutk: recognise your browser on a subsequent visit (retention period six months);
• __hssc: keeps track of your current session (30 minutes);
• __hssrc: records whether you have restarted your browser (until the end of the session).

Google Analytics gives us anonymised visitor statistics (which pages are viewed, for how long, from which type of device). The cookies _ga and _ga_* recognise your browser on a subsequent visit (retention period of a maximum of two years). We have concluded a data processing agreement with Google and do not share full IP addresses.

The Meta pixel (Facebook and Instagram) measures whether our advertisements bring in visitors and helps us to show advertisements to people who have visited our website. The cookie _fbp has a retention period of three months. Meta may also process this data outside the European Economic Area, on the basis of the EU-US Data Privacy Framework; see Meta’s privacy policy.

You can change your choice at any time via the “Cookie settings” button at the bottom of the website. If you refuse, the site works as normal and we do not place any of these cookies.

Via the WhatsApp button on our site you can start a conversation with us; the privacy policy of WhatsApp applies to that.

We take appropriate measures to prevent misuse, loss, unauthorised access and unwanted disclosure of your data. Our website uses a secure connection (https). If you have the impression that your data is not properly secured, or if there are indications of misuse, please contact us at info@beautybodyshaping.nl.

You have the right to access your personal data, to have it corrected or to have it erased. You can also withdraw your consent, object to the processing and ask for your data to be transferred to you or to another party. Send your request to info@beautybodyshaping.nl; we will respond within four weeks. To be certain that the request comes from you, we may ask you to prove your identity.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
